    How it works

Three steps to a better answer

No technical knowledge needed. If you can describe the job to a colleague, you can build a great prompt.

    1. Describe the job

Write what you need in plain words, or start from a ready-made template like a staff email or an IT troubleshooting request.

    2. Add the details

Choose the audience, tone, format and length. The strength meter shows what to add for a better result.

    3. Copy and go

Copy the prompt or open it straight in ChatGPT, Claude, Copilot or Gemini. Download it to reuse later.

    Why it works

    What makes a prompt work

AI tools answer the question you ask, not the one you meant. Every prompt this tool builds includes the four things that matter most.

    A clear role

Telling the AI who to be, such as an IT technician or copywriter, sets the right expertise and vocabulary.

    Real context

Your situation, constraints and what you've tried. This is the single biggest quality boost.

    A defined output

Format, length, tone and audience, so the answer is ready to use, not just a starting point.

    Guardrails

Rules to ask before guessing and never invent facts or sources, which cuts down on confident mistakes.

    Typical prompt

write an email about the new password rules

Result: a generic email that misses your dates, your tools and your staff’s concerns. You spend the next 10 minutes fixing it.

    Generated prompt

You are a professional business communications writer.
    ## Task: Write an email to all staff announcing our new password and MFA policy, starting Monday.
    ## Context: 25-person accounting firm; 14+ character passwords; Microsoft Authenticator…
    ## Audience: staff with mixed technical skill
    ## Requirements: friendly tone, clear subject line, one next step…

Result: a send-ready email on the first try, in your tone, with the right details.

    From your IT team

Use AI at work without putting your data at risk

Free AI tools can store and learn from what you paste. A few simple habits keep client and company information safe, and the generator warns you if it spots passwords, emails, phone numbers or card numbers.

    Use placeholders, not real data

Swap names, client details, passwords and account numbers for [CLIENT], [PASSWORD] and so on.

    Use business accounts

Work accounts such as Microsoft 365 Copilot come with stronger data protection than personal, free logins.

    Check before you send

AI can sound sure and still be wrong. Verify facts, figures and anything legal or financial.

    Agree on the rules

A short AI use policy tells staff which tools are approved and what must never be shared.

    FAQ

    Questions about the prompt generator

Yes. It’s completely free with no sign-up, no email required and no usage limits.

No. The prompt is built entirely in your web browser, so nothing you type is sent to AlphaIT or saved. Once you paste the prompt into an AI tool, that tool’s own privacy terms apply.

Any chat-based AI tool, including ChatGPT, Claude, Microsoft Copilot and Google Gemini. When you choose Claude, the prompt uses the XML-style sections Claude follows best; for the others it uses clear headings.

Treat free, personal AI accounts like a public website: don’t paste passwords, client records or financial details. Use placeholders instead, and for real business data use a work account with data protection, such as Microsoft 365 Copilot. The generator warns you if it spots sensitive details and can replace them with placeholders for you.

Most bad AI answers come from missing information. Asking the AI to check before it guesses means you get the right answer sooner. You can switch this off under More options.
