A Practical Privacy Policy for AlphaIT's Website and Business Services.

This Privacy Policy applies to personal information handled by AlphaIT in connection with alphait.ca, website inquiries, consultations, quotes, customer relationships, marketing communications and the delivery of AlphaIT services.

When AlphaIT processes information on behalf of a managed IT, hosting, Microsoft 365, backup or other business customer, AlphaIT may act as a service provider and process that information according to the customer’s instructions, contract and applicable law. The customer may remain responsible for its own privacy notices and legal obligations.

AlphaIT is based in Alberta. Alberta’s Personal Information Protection Act (PIPA) applies to many private-sector organizations operating in Alberta. Federal privacy law may also apply in some circumstances, including certain interprovincial, international or federally regulated commercial activities.

01. Information We Collect

Depending on how you interact with AlphaIT, we may collect:

  • Contact information: name, business name, email address, telephone number, mailing or business address.
  • Website inquiry information: information submitted through contact forms, including service interest, subject and message content.
  • Customer and service information: information needed to prepare quotes, provide services, maintain customer relationships, manage projects, support users or administer accounts.
  • Billing and transaction information: invoice, payment-status and business transaction records. If a third-party payment provider is used, payment-card details may be handled directly by that provider rather than AlphaIT.
  • Technical and usage information: IP address, browser or device information, timestamps, referral information, pages viewed, security logs and similar technical data that may be collected automatically by our website, hosting or security systems.
  • Marketing preferences: newsletter subscriptions, communication preferences, consent records and unsubscribe requests.
  • Support information: device, account, diagnostic or troubleshooting details reasonably required to respond to an authorized support request.

We aim to collect only information reasonably needed for the purposes described in this policy or otherwise communicated to you.

02. How We Collect Information

We may collect personal information directly from you when you complete a website form, call, email, request a quote, enter into a service relationship, subscribe to communications or request support.

We may also receive information from your employer or another authorized business contact when AlphaIT is providing services to an organization, automatically through website, hosting, security, analytics or cookie technologies where those technologies are enabled, and from vendors or service providers where reasonably necessary to deliver services or permitted by law.

03. How We Use Personal Information

AlphaIT may use personal information to:

  • respond to inquiries and consultation requests;
  • prepare proposals, estimates, statements of work and service agreements;
  • provide managed IT, Microsoft 365, cybersecurity, backup, hosting, website, marketing or other requested services;
  • create, administer and support customer accounts or service relationships;
  • communicate about projects, support requests, service changes and administrative matters;
  • process invoices and maintain business records;
  • operate, maintain, secure and improve our website and services;
  • detect, investigate and respond to fraud, misuse, security incidents or technical problems;
  • understand website usage and marketing performance where analytics or advertising tools are enabled;
  • send marketing communications where permitted; and
  • meet legal, regulatory, contractual, insurance, accounting or dispute-resolution requirements.

04. Consent

Where consent is required, AlphaIT seeks consent appropriate to the sensitivity of the information and the circumstances. Consent may be express or, where permitted by law, implied from the circumstances.

You may withdraw consent to certain future uses of your personal information, subject to reasonable notice and any legal, contractual or service limitations. Withdrawing consent may affect our ability to provide a requested service where that information is necessary to perform the service.

Where CASL applies, we use the appropriate form of consent, identify the sender and provide a working unsubscribe mechanism. You may unsubscribe at any time using the option in the message or by contacting us. We may still send non-promotional service, support, billing, security or transactional communications needed for an existing relationship.

07. Sharing Information & Service Providers

AlphaIT does not sell personal information as a business product. We may disclose personal information when reasonably necessary to:

  • service providers supporting website hosting, security, email, cloud infrastructure, analytics, advertising, forms, customer support, billing, backup or other operations;
  • technology vendors or subcontractors involved in delivering a service requested by a customer;
  • professional advisers such as accountants, lawyers, insurers or auditors;
  • government, regulatory, law-enforcement or other authorities where required or permitted by law;
  • protect the rights, security, property or operations of AlphaIT, our customers or others; or
  • complete a corporate transaction such as a merger, financing, acquisition or sale of assets, subject to applicable safeguards.

08. Processing by Service Providers Outside Canada

AlphaIT uses technology and cloud services that may process or store information outside Canada. Depending on the service in use, personal information may be processed in Canada, the United States, and other jurisdictions where an applicable service provider or its subprocessors operate.

When information is processed outside Canada, it may be subject to the laws of that country and may be accessible to courts, law-enforcement or regulatory authorities in accordance with applicable law.

09. Managed IT, Hosting & Client-Controlled Data

AlphaIT provides technology services to business customers. In some cases, those services may give AlphaIT authorized access to systems or information controlled by the customer, such as Microsoft 365 tenants, user accounts, computers, servers, networks, backups, websites or cloud systems.

When AlphaIT processes personal information on behalf of a customer, we use the information to provide, secure, troubleshoot, administer or support the requested service. Access is intended to be limited to what is reasonably required for the service.

The customer may remain responsible for deciding what information is collected and for providing its own privacy notices or obtaining required consents. The applicable service agreement, customer instructions and law may impose additional requirements beyond this website Privacy Policy.

10. Retention & Disposal

AlphaIT retains personal information only for as long as reasonably necessary for the purposes for which it was collected, for an ongoing customer or service relationship, or to meet legitimate business, legal, accounting, tax, insurance, security or dispute-resolution requirements.

When personal information is no longer reasonably required, we take reasonable steps to securely delete, destroy or anonymize it, subject to technical, backup and legal limitations.

11. Security Safeguards

AlphaIT uses reasonable administrative, technical and physical safeguards appropriate to the sensitivity and context of the personal information we handle. Depending on the system or service, safeguards may include access controls, authentication, multi-factor authentication, encryption, endpoint protection, firewalls, backup, monitoring, least-privilege access, confidentiality requirements and secure disposal practices.

No website, network, storage system or method of electronic transmission can be guaranteed to be completely secure. We therefore use a risk-based approach and review safeguards as technology, services and threats evolve.

12. Access, Correction & Privacy Requests

Subject to applicable law and permitted exceptions, you may request access to personal information AlphaIT holds about you and ask that inaccurate information be corrected.

AlphaIT’s website and business services are intended primarily for businesses and adult users. We do not knowingly design our general website services to collect personal information from children.
