Common Microsoft 365 problems

Microsoft 365 Should Be Organized, Not Just Licensed

Most small businesses sign up for Microsoft 365, add users as they’re hired, and never revisit the setup. It works, until someone leaves with access, a file can’t be found, or a phishing email gets through settings that were never turned on.

We set up the identity, security and information structure behind your email and files so the platform stays secure and easy to manage as you grow.

It grew without a plan

Licences, shared mailboxes and Teams added one at a time, with no one owning the structure.

Former staff still have access

Accounts and shared links left behind after people leave, and admin rights given to everyone.

Paying for the wrong licences

Premium licences nobody needs, or basic ones missing the security features you're relying on.

Files everywhere

Documents split across email attachments, OneDrive, desktops and an old server share.

Protect Access Before Everything Else

In Microsoft 365, your password is the key to email, files and Teams. Microsoft’s own research found multifactor authentication reduces the risk of account compromise by 99.22%. It’s the first thing we turn on.

If you’re on Microsoft 365 Business Premium, you already have Defender for Office 365 Plan 1 for phishing protection. We make sure it’s actually configured.

Microsoft 365 Copilot

Get Ready for Copilot Before You Switch It On

Copilot works with the files and email your staff can already access. If permissions are messy, Copilot can surface documents people were never meant to see. We clean up access first, then roll Copilot out to the right people with training they’ll use.

WHY YOUR MICROSOFT 365 PROVIDER MATTERS

Two Real Stories About What Happens When Business Email Is Handled Wrong

These examples are shared because they happened to Edmonton businesses—and because stronger renewal controls, documentation, migration planning and technical oversight could have prevented or significantly reduced the disruption.

REAL STORY 01
EDMONTON BUSINESS

The Email Licence Wasn’t Renewed—and the Business Lost Access

A local business relied on another provider to manage its business email licensing. The renewal was missed, and employees discovered they could no longer access email. Messages from clients and suppliers could not be handled normally, and the disruption continued while the licensing and account situation was corrected.

BUSINESS IMPACT

Business email was unavailable, external communication was disrupted, and time-sensitive enquiries may have been missed.

HOW ALPHAIT REDUCES THIS RISK
We track licensing and renewal responsibilities, maintain tenant and configuration documentation, and communicate required actions before service is affected.
REAL STORY 02
EDMONTON BUSINESS

One Server Change Led to a Week Without Business Email

AlphaIT had previously supported an on-premises Exchange environment that was operating reliably. After responsibility moved to another provider, a later update or configuration change caused the Exchange server to fail. The business then experienced an extended email outage while the environment was repaired.

BUSINESS IMPACT

Client and supplier communication stopped, orders and enquiries were delayed, and the operational impact lasted far beyond the original technical change.

HOW ALPHAIT REDUCES THIS RISK
We recommend moving suitable organizations from aging on-premises Exchange environments to Microsoft 365. Every migration is planned, tested and scheduled to minimize disruption and preserve a controlled recovery path.

Microsoft 365 does not remove the need for responsible administration. Licensing, identity, security, documentation, backup and change management still require clear ownership.

Frequently asked questions

Microsoft 365 FAQs

Straight answers about licences, migrations, security and Copilot.

Yes. We supply and manage Microsoft 365 licences, match each user to the right plan, and handle changes as people join or leave.

Yes. We migrate email, calendars, contacts and files from Google Workspace, GoDaddy-hosted email, Zoho Mail and on-premises Exchange, with a planned cutover and testing.

A planned migration moves existing email, calendars and contacts before the cutover and tests mail flow afterwards, so staff pick up where they left off.

Not the way most people expect. Exchange Online keeps deleted email for 14 days by default (up to 30), and SharePoint keeps deleted files for 93 days. After that they’re gone, which is why we offer separate Microsoft 365 backup.

It depends on what each person does. Some only need email and web apps; others need desktop apps or Business Premium’s extra security. We review your users and recommend the right mix.

It has strong security features, but many need to be turned on and configured. MFA, admin roles, sharing settings and phishing protection are where we start.

Clean up who can access what. Copilot can only see what each user can already reach, so overshared files become a bigger risk. We review permissions, then roll out with training.

Yes. We review licences, users, admin access, sharing, security settings and file structure, then fix what matters first.

We set up Teams for chat, meetings and channels, and can advise on Teams calling for your office.

Yes. Microsoft 365 administration is part of our managed IT plans, or we can handle a one-time migration or cleanup project.
